This article outlines the user roles, board access levels, and board visibility settings within an Alleo organization.

User Roles in Alleo

In Alleo, there are two primary user roles within an organization:

  1. Standard User
    A Standard User has basic access to features and functionalities within the organization but cannot make administrative changes.

  2. Organization Administrator
    An Organization Administrator has elevated privileges within the Alleo application as well as access to the Alleo Admin portal. They can manage users, groups, Alleo Rooms, view organizational analytics and modify limited configurations within the assigned organization.

  3. Guest
    A Guest does not have a provisioned account within Alleo. Guests must be invited and allowed access to a board. They cannot create board, rather have limited privileges that are granted and controlled by credentialed Alleo users.

Alleo User Board Access Levels

When managing board access, users can be assigned one of the following access levels:

  1. Owner
    Owners have full control over the board. They can make changes, manage permissions, and assign roles to other users.

  2. Editor
    Editors can modify content within the board but do not have full creative rights. They can update and make changes but cannot alter user permissions.

  3. Contributor
    Contributors can add or contribute content to the board but have limited rights compared to Editors. They cannot make changes to the board's settings or permissions.

  4. Viewer
    Viewers can only view the content on the board. They cannot make any changes or contribute content.

This table helps visualize these access levels across common board activities:

Can join calls, view users list, chat and follow users

Can add to comments, vote, play videos, push buttons and page documents

Can select assets, create comments, edit and move objects within containers

Can add live video, clip video shapes and access the views tab

Has full edit capabilities including widgets and widget services

Can start calls, manage board settings, manage users and manage Rooms

Alleo Board Visibility Settings

Boards in Alleo can be set to one of three visibility levels:

  1. Private (Default)
    The board is visible only to users with specific permissions granted by the board owner. By default, all new boards are set to Private.

  2. Organization
    The board is accessible to all users within the organization, regardless of their specific roles or permissions.

  3. Public
    The board is visible to everyone, including users outside of the organization. This setting is ideal for boards that need to be shared with a wider audience.

Managing Alleo Room Access

Alleo Rooms require license keys for activation on hardware systems. Rooms do not have access to boards until they are assigned access at the board level by Alleo owners. This ensures that only authorized rooms can interact with the boards.
